International Office for Incoming students
Our International Office is the contact point for everybody who is seeking information on KLU's exchange programs. We maintain a network with our partner universities and whether you are a KLU student, an incoming student from our partner network or a free mover, we have all the details you’ll require for your semester abroad. KLU was awarded the Erasmus University Charter of the European Union and participates in the ERASMUS+ program, which facilitates the exchange of students and staff in Europe.

Language
English certificate: (TOEFL (587/240/90) or IELTS (band 6.5) or ERASMUS language proficiency form (level C1) - not older than 2 years
Students studying in English and native speakers: Formal Letter from Home University stating language of instruction / native language
Transcript
All students need to provide a copy of their university transcript (by semester) listing the subjects and grades; this document must contain an explanation of the grading system (maximum grade, minimum passing grade).
Graduate students: A copy of your first degree certificate including your grade point average, usually in the field of business or economics from a recognized university or college

Good academic standing at home university.
Programs and Courses
You can select among the various courses in your chosen degree program and semester on offer at KLU and join our lively extracurricular program. We also invite you to attend our Career & Professional Development Program seminars. Normally, it's not possible to combine courses of the various semesters (e.g. courses from the 3rd and 5th semester of the bachelor) due to time overlaps. KLU offers German courses.
Workload and ECTS
The maximum number of courses you can take is equivalent to 30 ECTS (European Credits Transfer System) per semester. As a general rule, you should consider 1 ECTS (European Credit Transfer System) the equivalent of 30 hours of work. Some courses are graded with a “pass” or “fail” without any further mark (see in our module handbooks). Please consult with your home university to find out which courses can be credited to your studies at home.
Undergraduates
Undergraduate exchange students choose from undergraduate courses offered at KLU.
Graduates
We strongly recommend graduate students to choose courses either from the MSc in Global Logistics and Supply Chain Management or the MSc in Management program. If you are determined to combine some courses from both programs, time overlaps are possible.
Fees and Finances
Tuition Fees
Tuition fees are waived for students a partner university who have been formally nominated by their home university. All other students, i.e. free movers, are required to pay the tuition fees per KLU semester
Blocked Bank Account
If you are an international student from outside the EU, you will need to demonstrate to the German authorities (when applying for a student visa) that you have sufficient funds to support yourself. One common way to do this is by setting up a Blocked Account. Several providers offer this service. A blocked bank account allows you to deposit a specific amount of money, which is then held securely. Funds from this account are released to you in fixed monthly installments, ensuring you have a steady income to cover living expenses throughout your stay.
As of September 2024, the amount that must be paid into the blocked account when applying for a German student visa is 992€ per month of stay (11.904€ for one year).
Cost of Living
Accommodation: 500 - 1000€ per month (KLU does not offer rooms)
Groceries, Food: 400€ per month
Health Insurance (for students without European Health insurance card): 140 - 250€ per month
Transportation
With the Deutschland-Ticket you can travel with almost all local trains and public transport for just 58€ per month on a subscription basis.

Students who want to apply for an exchange semester at KLU have to upload the following documents on our online platform (the link will be shared after successful nomination by your home university):
- Enrollment form
- Transcript of records
- Proof of stated language proficiency
- CV (optional)
- Photo in business look
- Bachelor diploma
- Passport copy (for Non-EU-citizens: including student visa page)
- Health insurance proof
As soon as you enter all the requested information and upload the required documents, the acceptance letter will be sent to you.
The course choice is performed per email after the International Office sends you an “information package” including the courses offered and descriptions.
Please note: the course choice does not replace the Learning Agreement.
KLU accepts Digital Learning Agreements from Erasmus+ partner universities through the EWP network.
Students from other universities may send us their Learning Agreement via Email.
If you already hold a residence title for study purposes issued by another EU Member State, you do not need to obtain a German residence title. The residence title issued by the other EU Member State entitles you to come to Germany and study here and needs to be valid for the entire duration of your stay in Germany.
KLU and the International Office will inform the Federal Office for Migration and Refugees that you intend to study in Germany, this being the purpose of your stay. In such cases students might be asked to provide some extra documents.
KLU is dedicated to supporting students with all types of disabilities, whether visible or invisible, physical or mental. Depending on your specific needs, KLU will connect you with the appropriate team, such as our Registrar’s Office, for matters like examination accommodations for students with dyslexia or other support services. Just let us know about your disability during the application process in Mobility Online and we are able to assist you with everything.

The International Office organizes a Welcome Day in January to warmly greet Spring incoming students and help them kick-start their journey at the university. This event offers a comprehensive introduction to life at KLU and Germany, including campus tour, guidance on administrative processes, and opportunities to meet fellow students and staff. The Welcome Day ensures a smooth transition and creates a supportive environment for new students to thrive both academically and socially.
Before your official start at KLU there is a Welcome Week organised by the Student Services staff.
The Welcome Week includes a variety of activities, workshops, and social events that provide valuable information about campus resources, academic expectations, and extracurricular opportunities. It's also a fantastic opportunity to meet fellow students, faculty members, and staff, fostering connections and friendships that will enrich your experience at KLU. We are committed to making your start at KLU as enjoyable and informative as possible, setting the foundation for your success throughout your studies.
In case you need to change or update the Learning Agreement after it being signed from KLU and your home country university, the new version needs to be confirmed from both institutions either through EWP or per Email.
The International Office hosts biannual farewell events for incoming students every May and December. These gatherings provide a warm and celebratory send-off, allowing students to reflect on their journey, share memories, and connect with peers before embarking on their next chapter. It's a heartfelt tradition that fosters a sense of community and lasting connections.
After the Mobility
Transcripts are usually ready 1 month after the exam period.
Students can download their Transcript of Records on their CAS profile. If your home university needs a copy sent directly from us, please let us know.
Some universities request their students to confirm their stay at KLU. Students can send the documents of confirmation per email in a PDF version, and they will be signed and stamped accordingly. Please do let us know if we need to send a copy at your home country university too.
