A quick guide to using the student lounge, breakout rooms & facilities
Student Lounge & Common Areas
- Trash & Recycling: Students are fully responsible for their own waste, including proper separation of recyclables.
- Glass Bottles: Empty glass bottles must be taken to the glass recycling bin in the workshop (ground floor), which is emptied every Tuesday. Deposit bottles should be disposed of promptly, especially after parties or events.
- Dishes & Food: Please take your cups, dishes, and food items with you, put dishes in the dishwasher, and throw away any trash. Small spills should be wiped up immediately.
Breakout Rooms
- These rooms are group work.
- Sleeping, alcohol, cigarettes, or e-cigarette use is not allowed.
- Overfilled trash bins and dirty carpets create extra work for cleaning staff. Keep the rooms tidy!
- If you use the whiteboards, clean them for the next group. New cleaning supplies have been provided.
- Breakout rooms are in high demand. Please use them considerately and vacate when done or during breaks to allow others access.
Please note that KLU may lock rooms that are repeatedly misused.
Sanitary Facilities
- Men’s restroom (2nd floor): Sinks have been blocked with cloths to retain water, causing flooding, costly repairs, and insurance issues. Please respect the facilities.
- During busy periods, toilet paper may run out quickly. Please use consumables mindfully and report empty supplies to the Front Desk for refilling.
First-Aid Kits vs. Plaster Dispensers
- First-aid kits are for urgent care only. Plasters are available in wall dispensers in every kitchenette at all times. Misuse of first-aid kits causes unnecessary replacement work.
Who Cleans What?
- The cleaning team handles regular cleaning routines, but they cannot manage every cup, leftover food item, or small spill during the day.
- Students are responsible for clearing dishes, disposing of trash, and wiping up minor messes.

Important Notice:
Our gym will permanently close on June 30, 2026, due to campus expansion. Final billing for active memberships will occur in April 2026, after which all payments will stop automatically. We are no longer accepting new memberships and will share further updates as they become available.General Information
Are you considering taking advantage of the gym facilities at KLU? All members of KLU are authorized to use the fitness rooms on the ground floor. The membership fee is €15 per month with a minimum membership of three months starting with the 1st of each month.
Please note that you have to cancel your contract for your study abroad period / if you do not cancel it you would have to continue to pay the membership fees even though you are not on campus. After your return you can contact our colleagues at the Service Desk on the ground floor, they will be able to reactivate your Gym membership contract very easily if you wish.
Here is everything you need to know to get started:
- Membership application: Begin by requesting a membership application at the Service Desk located on the ground floor of the campus.
- Submitting documents: Once you've filled out the necessary form, ensure it is signed and send it via email in PDF format to the Accounting department (accounting@klu.org). Please do not forget to CC the Service Desk (servicedesk@klu.org) to keep them in the loop.
- Payment process: It is important to note that SEPA direct debits can only be processed within the EU. Membership payments are made quarterly in advance. These debits occur at the beginning of each quarter, specifically in January, April, July, and October.
- Cancellation policy: Should you wish to cancel your membership, be aware of the deadlines outlined in your contract. Cancellation requests must be submitted via email to both the Accounting department and the Service Desk. Make sure to adhere to the agreed-upon timelines to avoid any complications.
- Updating bank information: If there are any changes to your bank details, it is crucial to inform the Accounting department promptly. Send any updates via email at least three weeks before the start of the next quarter to ensure smooth processing.

Fitness Trainer:
Each Friday the trainer is available from 10am - 13pm for a security briefing. Any gym member has to do an introductory security briefing with the trainer which takes max. 10min.
